Set up the classifiers
Fifteen minutes here powers every report: tell Kanjo what payroll, owner draws, rent, taxes and utilities look like in your bank feed. Kanjo only counts what you tell it to — no built-in guesses.
Everything in this chapter lives in one place: open Reports and tap the gear in the header. Each classifier is a short list of keywords or ranges; you can come back and tune them anytime. Where a report needs its own setting (insurance), the gear sits on that report.
Payroll — check ranges
- In report settings, find Payroll and tap Add range.
- Enter the check number range you use for payroll — the From and To numbers of your payroll check stock.
- Add a Label if you use more than one account (e.g. "Wells Fargo payroll").
- Every check that clears inside a saved range is counted as wages. ACH payroll runs and processor fees are recognized too.
Tip · Payroll checks outside the range (a reimbursement, a one-off) stay ordinary expenses — that's the point of ranges over guessing.
Owner draws — keywords
- Find Owner's draw and add a keyword that matches your draw transactions — e.g. "transfer", the last four digits of your personal account, or "distribution".
- Kanjo shows you which bank activity matches as you type — if nothing matches in the last 30 days, try the exact wording from your statement.
- Classifying each draw (W2 / retained / contribution) happens later, on the Cash flow report — see the Cash flow chapter.
Taxes — keywords with buckets
- Find Taxes and add the descriptors your tax payments arrive under — e.g. "ADP Tax", "WA DEPT REVENUE", "EFTPS".
- Assign each keyword a bucket: Excise / sales tax, Payroll tax, or Federal income tax.
- The Taxes report then splits your payments by bucket automatically.
Rent, utilities & maintenance — keywords
- Landlord keywords — the name on your rent check or ACH (e.g. your property company's name). Matching payments count as rent.
- Utilities keywords — your power, gas, water and internet providers (e.g. "comcast").
- Maintenance keywords — recurring service providers (e.g. "ecolab").
- The three lists feed one report — Rent, utilities & maintenance — split into three lanes.
Insurance — keywords on the report
- Open Reports → Insurance.
- Under Detection keywords, add your carriers, comma-separated — any outflow whose merchant or description contains one is counted as insurance.
How the pieces rank
One rule to remember: your explicit decision always outranks a keyword match. If you classify a specific transaction by hand (an owner draw, a card charge on the Spending tab), that classification wins — in both directions — over anything the keywords would have guessed.
